Terms and Conditions

Mountain Climbers Treks and Adventure (Pvt.) Ltd. (hereinafter called the Organizer) is the Nepal government registered private limited company and have company registration number (96453/ 069/070), Tax certificate number (600801425), Tourism license number (1506), Industry certificate (12071/ 193), Foreign Currency license (1327), affiliation with umbrella organization of all trekking and tour agencies in Nepal and affiliation with umbrella organization of all mountaineering agencies in Nepal (956). We also have deposited approximately US$5000 to the Nepal government as guarantee (performance bond).

The Terms and Conditions are binding contract between the Mountain Climbers Treks and Adventure (P.) Ltd (the Organizer), and You, the legal signee for the service provided by the Organizer. Please kindly go through our Privacy Policy (including the booking terms and conditions) carefully before booking the trip with us.

1. General Booking Conditions
1.1: Valid Documents
1.1.1: Send us standard scanned front copy of passport and clear passport size of photograph for countries that we are organizing trips. Passport must be valid at least for six months during the time of entering to the country. Six months validation applies for entering the last country in case of multi-countries trip. Screenshot or unclear scan will not be entertained.
1.2: Advance Trip Deposits and Full Payment
1.2.1: The Organizer requires the non-refundable trip deposit, not less than 20% of the trip price or equivalent of US$150 (whichever is more) to proceed the reservation of accommodation, transportation, staffs and necessary logistic arrangements. We send You the booking required booking confirmation and ask another payment of flights, visa and permits if needed.
1.2.2: The remaining amount can be paid upon Your arrival in Kathmandu before set out for the trip.
1.2.3: In case of Tibet, Bhutan and Tibet trips, you need to pay the balance of payment 20 days prior to Your departure date if you intend to fly to these countries directly. We reserve our right to cancel Your trip if You could not make Your payment within our stipulated time.

2. Payment Methods
You can make the payment either of the following methods

This is the payment system that we prefer the most. Bank service charges related to submitting a deposit are the responsibility of the client.

2.2 Through Credit Card
For the payment by credit card, please open the link, and complete the form with necessary details then proceed. For credit card payments, 3.65% extra will be levied to you for a credit card processing fee.

3. Last Minute Booking
3.1: Nepal
Instant booking is available for Nepal trip within seven days or less before the trip with payment by cash on arrival. However, previously published price may not be applicable.
3.2: Bhutan
Instant booking is available for Bhutan trip with seven days to minimum of three working days before the trip. Saturdays, Sundays are public holidays in Bhutan with a lot of holidays on religious, spiritual and theme based festivals. However, previously published price may not be applicable.
3.3: Tibet
Last minute booking is available for selective trips for Tibet with minimum of 15 days before the trip starts. As of now, Five Days Lhasa and Surrounding Trip and Eight Days Central Tibet (Overland Tour to Lhasa) are available trips for last minute booking and previously published price may not be applicable.

4. Trip Postponements
4.1: Written notice should be sent to us 30 days prior to trip departure date to be charged only minimal trip cancellation fee. Missing the deadline to notice the Organizer means to miss the non-refundable deposit.
4.2: For postponing Nepal trip, US$100 per person will be charged as minimal trip cancellation fee for current trip.
4.3: For postponing Bhutan trip, US$150 per person will be charged as minimal current trip cancellation fee.
4.4: For postponing Tibet trip, US$200 per person will be charged as minimal current trip cancellation fee.
4.5: Remaining balance will be transferred for the postponed trip.
4.6: Extra cost caused by changing dates for flights, visas and accommodations depends on policies created by respective airlines, government tourism authorities and accommodation suppliers to be borne by Yourselves.
4.7: Although our action will be very reasonable, price changes due to the changes of dates under various circumstances (drastic change in exchange rate, inflation, government actions etc.) are to be borne by Yourselves.
4.8: Whatever mentioned above, postponing of Bhutan and Tibet trip solely depends upon the ongoing policy of our local contacts as well as respective countries. The Organizer reserves their rights to apply as per trending market of respective countries.
4.9: You must provide the postponed date as soon as the dates are finalized. The Organizer reserves their right not to operate the trip maximum of three consecutive postponed dates chosen by You. However, this point will not attract once the Organizer confirms and accepts to organize the postponed trip.

5. Trip Transfers
5.1: Written notice should be sent to us 30 days prior to trip departure date to be charged only minimal trip cancellation fee. Missing the deadline to notice the Organizer means to miss the non-refundable deposit.
5.2: For transferring Nepal trip, US$100 per person will be charged as minimal trip transfer fee.
5.3: For postponing Bhutan trip, US$150 per person will be charged as minimal current trip transfer fee.
5.4: For postponing Tibet trip, US$200 per person will be charged as minimal current trip transfer fee.
5.5: Remaining balance will be transferred for the transferred trip.
5.6: Extra cost caused by changing dates and names for flights, visas and accommodations depends on policies created by respective airlines, government tourism authorities and accommodation suppliers to be borne by Yourselves.
5.7: Although our action will be very reasonable, price changes due to the changes of dates and names under various circumstances (drastic change in exchange rate, inflation, government actions etc.) are to be borne by Yourselves.
5.8: Whatever mentioned above, transferring of Bhutan and Tibet trip solely depends upon the ongoing policy of our local contacts as well as respective countries. The Organizer reserves their rights to apply as per trending market of respective countries.
5.9: You must provide the transferred names and dates as soon as these information are finalized. The Organizer reserves their right to approve it.

6. Trip Cancellation
6.1: Nepal
Written notice should be sent to us 30 days prior to trip departure date in general cases and 15 days prior to trip departure date in emergency cases such as injury, serious illness and family bereavement. The Organizer reserves the right to demand authentic proofs before approving it. Options of trip postponements or trip transfers are available with applicable policies. As per our policy, the advance trip deposit is non-refundable, therefore, You can use the amount to book your next trip or transfer the trip through the Organizer.
6.2: Bhutan and Tibet
Written notice should be sent to us 30 days prior to trip departure date. Options of trip postponements or trip transfers are available with applicable policies. As per our policy, the advance trip deposit is non-refundable, therefore, You can use the amount to book your next trip or transfer the trip through the Organizer.

7. Risk and Liabilities
7.1: Unavoidable Circumstances
All the Nepal, Tibet, Bhutan and India trips are organized under the strict rules and regulations of the tourism boards/councils of the respective countries. We are not liable for any change or cancellation of the trip under unavoidable circumstances like a change in rules and regulations of the country, government restrictions, natural disasters, political instability, cancellation of flight, delay, sickness or accident, the breakdown of vehicle etc. Any extra cost incurred due to such circumstances shall be borne by clients themselves.
7.2: Flight Delay/Cancellation
Flight delays and cancellation are quite often during the bad weather conditions especially for domestic flights in Nepal and international flights to Lhasa, Tibet and Paro, Bhutan. Therefore, it is advisable to carry some extra money to buy food and accommodations in cases of delays particularly in the remote areas (Everest region, Annapurna region, Dolpo, Simikot and Jumla region etc) and travel insurance for coverage of any other loses. The Organizer will not be responsible for any of additional expenses caused to the flight delays/cancellation for whatsoever the reasons.
7.3: Your Personal Belongings
We are not liable for any damage or loss of your luggage or property. They are at your own risk.
7.4: Incomplete Trip
The Organizer is not liable for any refunds in case of any incomplete tour, trek or expedition whatsoever the reason from customers’ side. In case you commit any unlawful act during your trip and you are compelled to leave the country during the trip, the Organizer is also not liable for any kind of refunds

8. Travel Insurance
We highly recommend a comprehensive travel insurance package to all our clients. The insurance must cover all the medical expenses, personal accident, emergency evacuation, and trip cancellation, loss of gears and natural calamity, theft of or damage to baggage and personal effects etc.

09. Price Changing
We reserve our rights to change the price under various circumstances; drastic change in exchange rate, inflation, government actions etc. though our action will be very reasonable.

10. Applicable of Policies
Our privacy policy are applicable only if you book the trip with us directly. If you book your trip with us through any agents or third parties, you shall be liable to their own policies.
